You checked the forecast when you booked the venue. It looked perfect. Then, two days out, a storm system moves in. Suddenly it's 60% chance of rain on Saturday afternoon.
Here's what you need to know about handling weather at outdoor parties — and why having a plan in advance is the only version of this that doesn't involve a lot of stress.
The Best Rain Plan Is a Tent
This isn't a sales pitch — it's just true. A tent completely removes rain as a variable. It doesn't matter if it drizzles, pours, or does that Rhode Island thing where it's sunny at 2pm and a thunderstorm by 4pm. Your guests are covered, the food is protected, and the party continues.
If you're on the fence about renting a tent and rain is even a possibility, the answer is almost always to get the tent. The cost of a tent is significantly less than the stress of watching a party fall apart in the rain.
If You Already Have a Tent: Add Sidewalls
A tent alone handles vertical rain well. But if rain is coming with wind — which is common in coastal Rhode Island — sidewalls are the upgrade that makes a real difference. Sidewalls close off one, two, three, or all four sides of the tent, keeping rain and wind out and guests comfortable inside.
We can add sidewalls to any existing rental order. If you booked without them and the forecast changes, call or text us at least 48 hours before setup and we'll do our best to accommodate the addition.
If You Don't Have a Tent: Your Options Are Limited
If it's two days before the event and you don't have a tent reserved, you're at the mercy of availability. During summer months, tents often book out. This is why we always recommend booking early rather than waiting to see what the weather does.
If we have availability, we can do same-week or last-minute bookings — but we can't guarantee it. The safest approach is to book the tent when you book everything else, and cancel or reduce if the weather turns out to be perfect.
Weather Forecasting Tips for Party Planning
Weather apps aren't very reliable beyond 3–4 days. For outdoor party planning:
- 7+ days out: general trends only, don't make decisions based on this
- 3–5 days out: starting to get meaningful — this is when you should confirm your sidewall decision
- 24–48 hours out: forecast is reliable — this is when you make final calls
The National Weather Service (weather.gov) is generally more accurate for New England than most apps. AccuWeather and Weather Underground are also better than the default phone weather app for hyperlocal forecasts.
What to Tell Guests If Weather Is Questionable
Be upfront. If there's a chance of rain, let people know the event is happening regardless — you have a tent — and tell them to bring a light jacket if it's going to be cool. Guests appreciate the heads-up and it prevents people from bailing preemptively based on the forecast.

If you need to cancel due to weather:
- More than 14 days before setup: full deposit refund
- 7–14 days before setup: 50% deposit refund
- Less than 7 days before setup: non-refundable
Weather-related cancellations within the 7-day window are handled case by case. If there's a significant weather event (hurricane, named storm, etc.), we'll work with you. Call us — we'd rather find a solution than have a bad outcome for everyone.
