After seeing what works and what doesn't, here are the ten things that consistently make the difference between a stress-free party and a chaotic one.
1. Start With a Rain Plan — Not an Afterthought
Rhode Island weather in the summer is beautiful until it isn't. June afternoons regularly turn stormy, and August humidity can make open-air events uncomfortable fast. The single best insurance against weather ruining your party is a tent. Not because it's definitely going to rain — but because once you have one, you stop worrying about whether it will.
If you're on the fence about a tent, ask yourself: would I regret not having it if it rained? If yes, book the tent.
2. Book Early — Especially for June
Graduation season in Rhode Island is the busiest period of the year for tent rentals. June weekends, in particular, can book out months in advance. If your event is in May, June, or early July, start the booking process no later than 6–8 weeks out. We accept reservations up to a year in advance.
3. Account for the Afternoon Sun
If your party starts at 2pm, the sun is still intense — especially in south-facing yards. Think about where shadows fall at your party's start time. A tent provides shade, but if guests are also congregating outside the tent, consider where the sun will be hitting them. East-facing yards are often more comfortable for afternoon events than south-facing ones.
4. Give Yourself More Space Than You Think You Need
Every party ends up needing more space than was estimated. There's always a gift table that wasn't planned for, a caterer who needs a staging area, a cluster of guests who claim one corner and never leave it. If your guest count is borderline between two tent sizes, go up. The additional cost is worth it.
5. Plan Parking Before Invitations Go Out
This is the one guests will actually notice if you don't sort it. Look at where 20, 40, or 60 cars are realistically going to park. Talk to neighbors ahead of time if you'll need street space. Consider whether a nearby parking lot is available. Communicate parking info clearly in your invitation.
6. Mind the Noise Ordinance
Most Rhode Island towns have noise ordinances that kick in at 10pm or 11pm. If you're planning a late event with a DJ or live music, check your town's specific rules. Having an outdoor party shut down by a neighbor complaint at 9:45pm is a very anticlimactic ending.
7. Think About Food Safety in the Heat
This one matters more than people think. Cold food — salads, shrimp cocktail, anything with mayo — should not sit out in summer heat for more than two hours. If your buffet is going to be out longer than that, invest in ice trays or chafing dishes to keep things at temperature. A tent provides shade that helps, but if it's 90°F outside, a tent won't keep food cold.
8. Have a Bug Strategy
Evening events near water or wooded areas in Rhode Island can get buggy fast. Set out citronella candles or a mosquito coil at the perimeter of the tent. Bug spray available for guests is a thoughtful touch. If you're near the water (Barrington, Bristol, etc.), this goes from "nice to have" to "you really need this."
9. Designate Someone for Vendor Coordination
On setup day, the caterer, the florist, the DJ, and the rental crew are all potentially showing up within the same window. You don't want to be the only person managing that. Designate one trusted person — a partner, parent, or coordinator — to greet vendors, answer questions, and make decisions so you don't have to be on call for every delivery.
10. Build in Buffer Time
Whatever time you think you need to get ready, double it. And plan for your tent and tables to be set up the day before, not the morning of the party. Having the structure in place 24 hours ahead means you can decorate at your own pace, sleep well, and start the party day from a position of calm rather than controlled chaos.
